Grading exams and PDF diplomas

Quick answer

In Badgie, a grading is scheduled as a calendar event and closed from Belts: you promote each student who passes with the exam date and their promotion lands in the Notices tab. From there you download the PDF rank diploma (one or all at once) and send the families the notice by email and WhatsApp with the link to the new belt's badge.

Where to find it

Call: Dashboard → Calendar (/dashboard/events), Create event button.

Results, diplomas and notices: Academy → Belts (/dashboard/belts), Board and Notices tabs.

Diploma signature: Signature button in the Notices tab.

1. Schedule the grading

Create an event named after the grading (for example «December grading»), with the date, time, mat and the senseis on the panel, and add the candidates as participants. It then shows in their schedule and in the app, and you can take the register on the day like any class.

Calendar → Month: the Saturday 12 grading next to the karate and judo classes.

To tell families about the grading use Communications; the email template can include the day, the time and what to bring.

2. Record who passed

After the grading, in Belts → Board, drag each student who passed to their new belt. In Belt promotion set the Exam date (the same for everyone) and, optionally, the panel's Notes. With Grant badge ticked, the student receives the badge of their new rank.

Each promotion is saved in the student's Promotion history and enters Notices as Pending: nothing is sent yet.

3. Review the notices

Promotion notices lists each promotion with the student, the Progression (previous → new belt), the Exam date, the available Channels (family emails and phones) and the Status. The Pending, Sent, Skipped and All filters separate what still needs notifying from the history.

Belts → Notices: the students who passed, pending notice, each with their diploma.

Each row has Badge (opens the new rank's badge) and Diploma PDF. Selecting several rows enables Diplomas (n), Skip and Send (n).

4. The PDF rank diploma

Diploma PDF downloads the student's diploma instantly; Diplomas (n) builds a single PDF with one diploma per page for everyone selected, ready to print and hand out on the mat.

The diploma carries the dojo's crest and name, the discipline, the student's name, the belt earned with its progression, the exam date, the signature of the head instructor and a «Verify» QR code that opens the official rank badge.

With Signature you upload the head instructor's signature: it is stamped at the foot of every rank diploma.

Notices → Signature: one signature for every diploma.

5. Notify the family

Select the notices and press Send (n). Badgie confirms how many notices go out and through which channels, and each family receives the congratulations by email and by WhatsApp (if they have a phone number), with the link to the new rank's badge. If a student has no contact channel, the notice is marked as sent but nobody receives anything: add an email or phone to their profile, or use Skip.

What the family sees

The notice link and the diploma QR open the public page of the rank badge: the belt with its discipline, the student's name, the dojo, the date and the sensei's comment, with a button to share it.

In the app, the My belt screen shows the current belt and the whole rank progression.

By discipline

The flow is the same in karate, judo, taekwondo and jiu-jitsu. The diploma shows the discipline set in Edit belts, and each ladder keeps its own rank names and colours.

With the AI agent

The agent can tell you who holds each belt and since when, to prepare the candidate list, but it does not promote or send notices: the grading, the promotion and the send are always the dojo's decisions.
