Club expenses: record fixed and recurring expenses

Quick answer

Expenses is the club's expense book inside Badgie: you record description, date, amount and category, and if it repeats every month Badgie creates the same entry in the following months.

These are annotations: nothing written here is ever charged to anyone or moves money. They keep what the club spends in view next to what it collects in Finance.

Where to find it

Side menu FINANCE → Expenses (route /dashboard/expenses). At the top choose the period: month, quarter, year or 12M, and move with the arrows. The list header shows how many entries there are and their total.

Expenses can also be checked and entered from a phone.

Record an expense, step by step

  1. Press New expense.
  2. Type the description, for example “Court rental”.
  3. Set the date: the month of that date is the month the expense is booked to.
  4. Enter the amount as a positive number.
  5. Choose the category: Rent, Utilities, Salaries, Insurance, Supplies, Maintenance, Marketing, Software, Transport, Taxes, Bank fees or Other.
  6. Add a note if you like.
  7. Turn on Repeats every month for fixed costs: Badgie creates the remaining months up to December of next year, and each month keeps its own amount.
  8. Press Save.

New expense: the month of the date is the month it is booked to; with “Repeats every month” Badgie creates the same entry every month.

Edit, stop or delete a recurring expense

Each entry's menu offers:

  • Edit: that entry only.
  • Edit (current month onwards): changes the recurring expense from this month.
  • Stop generating months: keeps every month already created and adds no more.
  • End the recurring expense: deletes the months after the current one; the current and earlier months stay in the history.
  • Delete: removes only that month, which is not generated again.

In the 12M view each recurring expense is grouped with its months (for example “3 months · 2026-08 → 2026-10”) and can be expanded.

12M view: each recurring expense adds up its months (for example “3 months · 2026-08 → 2026-10”) and one-off ones show their date.

What the family sees

Nothing: Expenses is internal to the club. Families only see their own receipts in the app.

By sport

  • Swimming: pool lane rental, coaches' payroll, equipment (kickboards, pull buoys, fins) and federation licences.
  • Football: pitch rental, referees, kits and travel.
  • Tennis, padel and golf: court rental or green fees, balls and maintenance.

With the AI agent

The Badgie AI agent has no dedicated expenses tool: expenses are recorded and checked on this screen. For payments and income, see the Finance guides.

Frequently asked questions

Are expenses charged or paid from Badgie?

No. They are annotations for your internal control; they create no charges, payments or invoices.

Can I filter by type of expense?

Yes, with the all-categories selector.

If I delete a recurring expense, do I lose past months?

No. Deleting a recurring expense stops future months; past months stay in the history.
