Finance: club collections summary and KPIs

Quick answer

The Badgie Finance Overview shows, for the period you choose, how much the club has collected, how much is still outstanding and how much is overdue, broken down by collection route (direct debit, transfer/Bizum, cash, external card terminal, automatic charge and payment link) and by source (fees, shop, bookings and one-off charges).

Above it sit two prompts: Your move (what needs your decision) and The system will do (what Badgie will do on its own). Badgie never moves money without your approval.

Where to find it

Side menu FINANCE → Finance (route /dashboard/finance-v2). At the top are the tabs Overview, Invoicing, Remittances, Communications, Payers, Plans and Settings.

Overview has three views: Overview, Months and Matrix. The Create charge button is always in the header.

How to read the overview, step by step

  1. Pick the period: this month, last month, this year, last year or a custom date range.
  2. Check the By collection route table: for each route, the amount collected, outstanding and overdue, plus the number of receipts. The “All routes” row adds them up.
  3. On the right, the period status compares collected against invoiced, in euros and as a percentage. Overdue receipts show in red.
  4. Scroll to Where it comes from to see what was sold: fees (subscriptions), shop, bookings and one-off charges.
  5. Recent activity lists the last 20 movements: receipts issued and payments recorded, and whether a person or the system did them.

With “This year” the Overdue column shows an amount: these are unpaid receipts already past their due date.

Your move and The system will do

Press Your move to see the tasks that need you, each with its button: connect a collection route (Stripe or the account for transfers), complete the tax details, or prepare the remittance for the direct debits that are ready.

The system will do lists the automations and whether they are on: generate the month's charges, charge the saved card for what was just generated, and remind overdue payers. You switch them on in Settings.

“Your move” lists what needs your decision: connect a collection channel, complete the tax details or prepare the batch for the direct debits that are ready.

Months and Matrix views

  • Months: every month the club has invoiced, with invoiced, collected, outstanding, overdue and receipts. The Export button downloads the year.
  • Matrix: each service month by month, collected in green and outstanding in orange. Switch between Year and 12M and download it to Excel.

What the family sees

Each family sees in the Badgie app what they still owe, what they paid this year, their active fees and every receipt with its status. What you see as outstanding is what they see as pending.

Each receipt shows its status, when it was issued and when it is due, the breakdown of items and the payments recorded.

By sport

The overview works the same in every sport. In a swimming club or a football academy, fees carry most of the weight; in a padel, tennis or golf club with court bookings, paid bookings show up as their own source under “Where it comes from”.

With the AI agent

Ask the Badgie agent “how much are we owed?” or “how much have we collected this year?”. It uses get_finance_snapshot (debt totals), list_unpaid_invoices (unpaid receipts), get_top_debtors (who owes most), get_revenue_received (money collected, by month and activity) and get_mrr (recurring revenue).

Frequently asked questions

What is the difference between outstanding and overdue?

Outstanding is everything issued and not yet paid. Overdue is the part already past its due date.

Why are automatic charge and payment link at 0?

They are Stripe routes: they work once the club connects its own Stripe account in Settings. Without Stripe you can still collect by direct debit, transfer, Bizum or cash.

Can I export the data to Excel?

Yes: Months has Export per year and Matrix has an Excel button.
