Plans and fees: create your club's fees in Finance

Quick answer

In Badgie a fee is a plan under Finance → Plans: name, price, frequency (monthly, quarterly, annual or one-time), VAT and, if you want, the classes or the whole course it covers.

Every student who pays a plan has a subscription, and Badgie generates their receipt each period. Changing a plan's price never touches receipts already issued.

Where to find it

Side menu FINANCE → Finance → Plans (route /dashboard/finance-v2/plans). Filter the list by active, archived or all, and search by name.

Each row shows price, frequency, classes, payers and the monthly amount. On the right you see the monthly total, how many payers sit in how many plans, the split by frequency and items to review, such as plans with no linked classes.

Create a plan, step by step

  1. In Plans, press New plan.
  2. Type the plan name, for example “Beginners 8-10 years (2 days)”.
  3. Set the price and the frequency: monthly, quarterly, annual or one-time.
  4. Keep VAT on if it applies (21% by default) and tick that the price already includes VAT if the amount you typed is final. The form tells you what the family pays.
  5. Add a description if you like (days, duration, what is included).
  6. Turn on Link to a group so it covers the classes of a calendar group.
  7. Press Create plan.

New plan: what it charges, how often and how it is taxed. VAT defaults to 21% and you can say whether the price already includes it.

Classes covered and whole courses

Open a plan to see its sheet: what it does, the classes it covers, its subscribers and the Archive, Edit and Change price buttons.

Under Cover a whole course, press Link the whole course: the plan reaches every group in the course, now and in future, and opens a subscription for each student in them.

You can limit coverage to specific days or to a number of days a week of a group. Badgie will not let you link the same class twice, so it is never charged twice.

Opening a plan shows its subscribers and lets you link it to a whole calendar course; at the bottom, Archive, Edit and Change price.

Change the price or archive a plan

  • Change price: before confirming you see how many subscriptions it reaches, which ones keep their own price, how much it moves per month and from which charge it applies. Charges already issued keep their amount.
  • Archive: the plan stops generating new charges. Nothing is deleted and you can reactivate it at any time.

Assign the plan to a student

There are three ways: link the plan to the student's class or course; press Create charge → Subscription in the Finance header; or, in the student profile → Finance, Add subscription. The details are in the guide “Manage each student's fees”.

Create charge panel with the One-time charge, Subscription, Product and Service options
Create charge asks what you want to charge: a one-off charge with a free amount, a recurring fee, a shop product or a catalogue service.

What the family sees

In the Badgie app, the family sees their active fees with amount and frequency, and every receipt that is generated.

By sport

  • Swimming: one plan per level and days a week, for example “Advanced A (3 days)”.
  • Football and team sports: one plan per age group plus an annual season registration.
  • Tennis, padel and golf: plans by number of classes a week; one-off classes are charged separately (see “Fixed classes, packs and fees”).

With the AI agent

Ask “who pays the Advanced A fee?”: the agent uses get_plan_subscribers to list a plan's subscribers and get_mrr for recurring revenue. Creating or changing plans is done on this screen.

Frequently asked questions

Can a student have several fees?

Yes. For example, their monthly fee and the annual season registration.

What happened to the old fixed and flexible passes?

They are no longer set up separately: fixed classes are covered by linking the plan to the class, and packs or one-off classes are charged with Create charge → One-time charge.

Are receipts generated automatically?

If you switch on automatic generation in Settings, yes, on the day you choose. If it is off, you generate them from Invoicing.
