Fixed and flexible passes: fixed classes, packs and fees

Quick answer

Badgie no longer has a separate passes section: everything is charged from Finance. A fixed pass (always the same days) is a plan linked to those classes; a flexible pass (X days a week) is a plan that covers a number of days a week of a group.

Packs and one-off classes are charged with Create charge → One-time charge (free amount and description) or Service if it is in your catalogue.

Where to find it

  • FINANCE → Finance → Plans: plans and their class coverage (plan sheet).
  • Create charge in the Finance header: One-time charge, Subscription, Product or Service.
  • Student profile → Finance: their subscriptions and the classes they attend without a fee.

Fixed classes (formerly fixed pass), step by step

  1. In Plans, create the plan with its price, for example “Tennis Tuesday and Thursday”.
  2. Open it and link it to the class or the whole course (Link the whole course).
  3. If the group meets on more days than the student pays for, limit coverage to specific days of that group.
  4. Enrol the students in the class: each one gets a subscription to that plan.

Opening a plan shows its subscribers and lets you link it to a whole calendar course; at the bottom, Archive, Edit and Change price.

X days a week (formerly flexible pass)

In the plan coverage, choose a number of days a week of a group, for example “2 days a week of Morning adults”. The number must be lower than the days the class has: covering every day means covering the whole class.

When a plan prices a class, the plan decides which days it pays for.

Packs and one-off classes

  1. In Finance, press Create charge.
  2. Choose One-time charge and type an amount and description, for example “4-class pack”, or Service if it is in your catalogue.
  3. You can apply a discount and decide whether to send the payment link or leave it pending.
  4. The receipt appears in Invoicing and on the student profile.
Create charge panel with the One-time charge, Subscription, Product and Service options
Create charge asks what you want to charge: a one-off charge with a free amount, a recurring fee, a shop product or a catalogue service.

What the family sees

In the app the family sees their active fees and every receipt, including packs and one-off classes, with description, amount and status.

In the app, the family sees what is outstanding, what they paid this year, their active fees and the list of receipts.

By sport

  • Tennis and padel: plans for 1, 2 or 3 days a week and class packs for irregular players.
  • Swimming: plans per level with fixed days; short courses as a one-time charge or service.
  • Golf: fixed group classes and private lesson packs as a one-time charge.

With the AI agent

The agent answers who is subscribed to a plan (get_plan_subscribers) and which receipts are still unpaid (list_unpaid_invoices). A plan's coverage is set on its sheet.

Frequently asked questions

Can I keep using the old passes?

Not as a separate section: the old Subscriptions section was replaced by Finance. Charge with plans and one-time charges as explained above.

How do I know if a student attends a class without paying for it?

On their profile → Finance, classes that have a plan but no subscription of theirs paying for them show as “Classes with no fee”, with the option to assign one.

Does Badgie count down the sessions in a pack?

It does not keep a session counter for packs: the pack is charged as a receipt and attendance is recorded in the calendar.
