Enrolments, capacity and waitlist for classes and events

Quick answer

In Badgie every class has its enrolled students and, if you want, a maximum Capacity. With the waitlist on, students who arrive when the class is full join a queue. If you make the class Public and Open for enrolment, families sign up from the app: with Automatic enrolment they are in straight away, and with Requires approval you approve each request.

Where to find it

  • Dashboard → Calendar → Create event: the Participants step (students, capacity, waitlist) and the Settings step (access, enrolment and billing).
  • On a session: Students → Edit the whole series or Edit this class.
  • The bell in the calendar toolbar: Pending requests.
  • The family's Badgie app: the student's calendar with their classes.

Step by step: students, capacity and waitlist

  1. In Participants, click Add student or By Smart Tag to enrol a whole group at once.
  2. Turn on Capacity and set the seats with the slider or the number. Below it you see "N students selected · N seats left".
  3. Turn on Enable waitlist: once capacity is reached, new students go onto the waitlist instead of being left out.
Participants step of Create event with Add student, By Smart Tag, Capacity of 10 seats and Enable waitlist
Capacity and waitlist are set when you create the class: once the seats are full, new students go onto the waitlist.
  1. For an existing class, open a session and click Students → Edit the whole series. There you add or remove students, set each one's Class days and dates, and in Waitlist use Promote to give a seat to someone waiting.

Step by step: open enrolment to families

  1. In Settings → Access and enrolment choose Public (visible to the whole school). Private keeps the class for the students you add.
  2. Under Enrolment choose Automatic (enrolment is accepted instantly) or Requires approval (you approve each enrolment).
  3. Leave Open for enrolment on: students who are not signed up can join or go onto the waitlist from the app.
Settings step with Public access, Automatic or Requires approval enrolment and the Open for enrolment switch
A public class open for enrolment lets students sign up from the app; you decide whether it is accepted instantly or you approve each one.
  1. With approval, requests arrive at the bell → Pending requests: Approve or Reject (with an optional reason for the student). If the series is already full, it says "The series is full".
Pending requests panel of the calendar, empty: enrolment requests waiting for approval will appear here
The calendar bell opens pending requests for classes that require approval.

Fee on enrolment

If the class has linked payment plans (Settings → Billing), you choose a plan for each new student when you enrol them; if you choose none, they join the class without a fee. When you remove them you can also end the subscription created for that class.

If you link payment plans to the class, you pick each new student's fee when enrolling them and Badgie creates the subscription.

What the family or player sees

In the app, each open class shows its status: Open, Open to waitlist, Full, Request sent or Waitlisted. When they sign up, the app replies "You're in", "Request sent — The club will review it" or "You're on the waitlist — The club will tell you when a spot opens".

By sport

  • Swimming, padel and tennis: groups capped by lane or court; the waitlist orders demand for the busiest slots.
  • Camps, clinics and masterclasses: public events with enrolment by approval so you can review each profile before accepting it.
  • Football: academy squads are managed separately; class enrolment is for technical sessions and extra training.

With the AI agent

  • "Enrol Lucía and Mateo in Development B" or "Move these five students to Masters" (proposes a grouped enrolment).
  • "Take Jon out of Afternoon adults" (removes the student from the group).

The agent proposes each change and applies it once you approve.

Frequently asked questions

What happens when a group is full?

Without a waitlist, the class shows as Full and accepts no more sign-ups. With a waitlist, newcomers queue and you give the seat with Promote.

Can I go over capacity manually?

The capacity of a single session can be changed in Edit only this session, for example on a day with more lanes available.

Can families sign up on their own?

Yes, if the class is Public and Open for enrolment. A Private class only has the students the club adds.

How do I approve a request?

In the calendar bell, Pending requests → Approve or Reject.
