How to manage your club's students in Badgie: the filtered list, the full profile, single and express sign-up, bulk upload from Excel, families and siblings, and deactivations.

Quick answer
In Badgie, Students is the club roster: every student has a profile with their details, class and fee, Smart Tags, badges, coach notes, reports and family members. You add them one by one, by QR or WhatsApp (express sign-up), through an enrolment form or in bulk from an Excel file with the AI agent, and you deactivate them without losing their history.
In this guide
Where to find it
- Web: menu Community → Students (/dashboard/students). The sidebar search (⌘K) also opens any student's profile.
- Coach app: the list of students in their classes and Express signup (QR, manual registration or WhatsApp).
- Family app: the student and their guardians log in with their own credentials and see their profile, badges, notes and reports.
- AI agent (Badgie Agentic): finds, creates and updates students and loads whole rosters.
The student list
The header shows how many students you have and how many have the app installed. Below it are the search box (name, email or phone) and the Active, Category and Smart Tag filters, plus the Finance row (Category, Classes, Season, Signed up in season, Subscription, Status) to cross students with their fees.

- When you filter, the whole filtered list is selected at once (Select all N) so you can act on it: create a Smart Tag from that group (Create Smart Tag), export it or send it something.
- The Students | Family switch changes to the family links view.
- The download icon exports the list and the settings icon chooses which columns are shown.
Adding a student
- In the list, click Create new student.
- Choose the route: Generate QR (the student scans it and registers on their phone), Manual Registration (you fill in the profile) or Send WhatsApp (they receive the sign-up link).
- For manual registration fill in at least first name, last name, email and phone; the rest (date of birth, health, guardians, class, fee) can be added later.
- When you save, the student receives their credentials to log into the app.
Express signup from the coach app
The coach opens Express signup in their app and picks Generate QR, Manual Registration or Send WhatsApp. It is the quick way to sign up someone who comes to a trial class. In Settings the club decides whether express signup also asks for coach, schedule and consents (extended signup) or only first name, last name, mobile and email (super express signup).
Sign-up by form and bulk upload
- Enrolment form: families fill in their details from a link; when you approve the submission the student is created with their guardians and consents. See the Forms guide.
- Bulk upload: give the club's Excel file (or a photo of a list) to the AI agent. It normalises it, shows you what it will create and, once you confirm, adds up to 1,000 students at once. Welcome emails stay off unless you ask for them.
The student profile
At the top you see status, class, fee, category and Smart Tags, with the Update student info button. On the right, the Student details panel sums up email, birth date, phone, health, family, siblings and groups.
- Badgie: badges by collection, Coach notes, Sport reports and Tournaments.
- Finance: fees, receipts and payment history.
- Student details: Personal, Contacts, Medical, Course, Payment, Equipment and Signature.
- Schedule, Activity, Documents and Exercises (results in timed tests).
Families, guardians and siblings
Every student can have a father, mother and guardian linked, and Badgie detects siblings (students who share a family member). You add them with Add family member on the profile or, for many at once, in the Family view of the list, with one row per student and Father, Mother, Guardian and Siblings columns, plus totals of students with and without links.
Family members receive the student's communications and, with their own login, see in the app the same as the student.
Deactivating and reactivating
- Set the student as inactive from the Active column or from the status on their profile.
- If they have active fees, Badgie asks what to do with each one: Cancel, Pause or Keep, and you confirm with Deactivate student.
- The student leaves the active students and the members register, but keeps their history (badges, reports, receipts).
To bring them back, Reactivate student returns them to the members register and offers to resume paused fees. Deleting a student is different: it is irreversible and can include the Right to erasure (GDPR), which also anonymises their data in the audit log.
What the family sees
With their credentials, the student and their family log into the Badgie app and see their badges and collections, coach notes, reports, class calendar and, if the club collects fees with Badgie, their receipts. If a family cannot log in, the club or the agent can resend the credentials.
By sport
- Golf: the profile adds RFEG handicap, rounds, WAGR, TrackMan and scorecards.
- Tennis: federation profile linked by licence number.
- Martial arts: belts and grading exams.
- Football (Academy): season squads and player cards; students move to the Academy group in the menu.
- Swimming and timed sports: Exercises tab with each test's times.
With the AI agent
- «Add Lucía Pérez to Beginners 8-10» or «upload this Excel of new sign-ups».
- «Find the students without the app» and «resend the credentials to Mateo's family».
- «Update this student's phone / allergy / photo consent».
- «Tag these students as Competition team» and «how many active students do we have per class?»
Frequently asked questions
Can I import my students from Excel?
Yes. Give the Excel file to Badgie's AI agent: it reads it, shows you what it will create and adds up to 1,000 students at once when you confirm.
What is the difference between a category and a Smart Tag?
The category is the student's official level or age group (one per student). Smart Tags are free, stackable labels for segmenting: licensed players, competition team, allergies…
Is the history lost when I deactivate a student?
No. Deactivation removes them from active students and the members register, but their badges, reports and receipts are kept and you can reactivate them.
How do I link two siblings?
Add the same family member to both students: Badgie shows them as siblings on the profile and in the Family view.
